Appointment Reservation and Attendance

Ginger's Grace Therapy Company PLLC values the time, care, and preparation that go into each scheduled appointment. Your appointment time is reserved specifically for you, so it is not available to another client once it has been scheduled. Clients are expected to cancel or reschedule appointments at least 24 hours before the scheduled appointment time when they are unable to attend. Appointments canceled with less than 24 hours' notice or missed without notice may be considered late cancellations or no-shows. While unexpected circumstances can happen, timely communication helps support consistency in care and the overall health of the practice.

Fees, Refunds, and Client Responsibility

Ginger's Grace Therapy Company PLLC does not provide refunds for completed sessions, missed appointments, late cancellations, consultation fees, administrative fees, or services already rendered. Late cancellation and no-show fees may range from $95 to $125, depending on the client's location, service type, platform, insurance/private pay status, or applicable practice policy. These fees are typically not billable to insurance and may be the client's responsibility. If a client is using insurance, the client may still be responsible for cancellation or no-show fees when permitted by the applicable platform, informed consent, disclosure statement, or practice policy. Payment expectations, session fees, cancellation fees, and platform-specific requirements may be further explained in intake paperwork, informed consent documents, disclosure statements, or client portal information.

Exceptions and Scheduling Communication

Ginger's Grace Therapy Company PLLC is committed to supporting each client's healing journey while maintaining the practice's structure and sustainability. Exceptions to the cancellation policy may be considered at the practice's discretion for emergencies, illness, safety concerns, or circumstances outside the client's control. Any grace cancellation policy, location-specific policy, or platform-specific policy may be explained in the client's disclosure statement, informed consent documents, or service-specific paperwork. Clients should communicate as soon as possible if they are unable to attend a scheduled appointment. To cancel or reschedule, clients should use the appropriate scheduling platform or contact the practice directly.
